Diamond Dealer Software

The capabilities a diamond dealer needs from software, how they differ from one another, and exactly which of them BrilliantBot covers.

In short

Diamond dealer software generally covers four distinct capabilities: keeping an accurate inventory record, capturing buyer demand, alerting on relevant opportunities, and managing the workflow of a deal. Most products in the trade concentrate on inventory and administration. BrilliantBot covers the demand and alerting side: it matches buyer requests from monitored diamond trading groups against dealer inventory and notifies the dealers whose stones fit. It is not an ERP, accounting system, marketplace or payment processor.

Four capabilities, often confused

"Diamond software" is used to describe very different products, which makes comparison hard. It helps to separate the capabilities before evaluating anything.

  • Inventory record. What you hold, with attributes, certificates, cost, location and memo status. This is the foundation everything else depends on.
  • Demand capture. What buyers are asking for, in a form you can search rather than scroll. This is the layer most dealers have no system for at all.
  • Alerting. Being told when demand and inventory intersect, quickly enough to respond.
  • Workflow and back office. Quotes, memo tracking, invoicing, shipping and accounting.

Where BrilliantBot sits

BrilliantBot is a demand and alerting layer. It needs to know your inventory in order to match, so you upload and maintain a stock list, but it is not attempting to be your system of record for cost, accounting, memo administration or shipping. If you already run an ERP, this sits alongside it rather than replacing it.

Delivery happens through Telegram, which is where much of the trade already operates. That is a workflow decision, not the category: the underlying product is B2B diamond demand intelligence and matching.

Questions worth asking of any vendor

  • What is the data source? A demand product should be able to tell you exactly where its signals come from and what they exclude.
  • How does inventory get in and stay current?Upload effort and maintenance effort determine whether the system stays useful after month one.
  • How is relevance decided? Alerts that fire on everything get muted within a week.
  • What does it not do? A vendor that cannot answer this clearly has not thought about the boundary.
  • What are the commercial terms? For BrilliantBot: a full 14-day trial, then $150 per month per dealer account.

Stated limitations

Coverage is limited to the trading groups the bot has been added to, so it is not a market-wide feed. Free-text parsing is imperfect, so some requests are matched loosely and some are missed. Out-of-date inventory produces matches on stones you no longer hold. And a match is buyer interest, not a sale — BrilliantBot does not broker, hold funds, run escrow or settle payments.
