• Keep one authoritative stock file, with shape, weight, colour, clarity and certificate details filled in consistently.
• Remove sold and memo stones promptly — a match on a stone you cannot supply costs you credibility.
• Have a photo or a 360° video ready for the stones you most want to move.
• Decide your floor price before a buyer asks, so you can answer within minutes.

In a group where several dealers hold comparable goods, the reply that arrives first and names the exact stone tends to win the conversation. Quote the buyer's own criteria back, give the certificate number, and attach the media. Vague “I have similar” replies get ignored.
